General Hall Details


How many people does the hall accommodate?

120 split across 4 different rooms: Beech (60), Oak (40), Ash (12) and Maple (8). The Centre is fully disabled user-friendly. Only guide dogs are permitted on site with their owners.
 
What is the cost to hire each room and do I need to pay a deposit? 

Please refer to our price list for each room within the 'Facilities' tab at the top of this website.
 
How late can I book the hall for? 

All rooms in the Community Centre can be booked up until 10pm Mon-Sat and until 9pm on Sundays.
 
Do I have to live in the village? 

There is no requirement to live within the village.
 
Can we use our own caterers for food? 

Yes we would encourage you to use external caterers for large events in the hall. If you have a good experience please let us know so that we can also recommend them.
 
Can I book the hall for more than one day in a row? 

If the hall is available, it is possible to book the hall for an extended period of time.
 
Do I get a discount for being a charity or local group? 

The Community Centre is also a charity and the income from our hiring contributes towards the running cost of the hall. However on production of a registered Charity Number a 20% discount can be applied. 
 
What catering facilities are available?

A modern kitchen, complete with full-height fridge, microwave and a cooking range is available which is accessible from Beech. This may be pre-booked at extra cost. For light refreshments, kitchenettes are included in the hire of Oak and also a fridge and microwave oven in Beech. Cups and saucers for up to 70 guests are available. No bar facility.

Can I view the hall before booking?

We ask you kindly to view the 'Take a Tour' video available at the top of this website. Should you still wish to view the venue, one of our volunteers may be able to assist with this. Please email enquiries@downleycommunitycentre.org.uk

Does my hire fee include anything else?

The centre has its own Wi-Fi zone with internet connection. A 6ft x 6ft wall-mounted projector screen is provided in Oak and we have a portable tripod projector screen and a full height flip chart stand available upon request. Free car parking for up to 26 vehicles. 19 oblong tables, measuring 1830 x 740mm, and approximately 80 chairs are provided but must be left as found on exiting the Centre. The hirer is responsible for all equipment as stated in the Conditions of Hire.

Can I also use the grass lawn?

Yes for play and games and is included with all bookings for Beech and Oak rooms. If hired whilst the Community library is open, the main gate must remain open. (Mon 10am-12pm, Thurs 3-5pm and Sat 10am-12pm). BBQs maybe used if specified with a named user at time of booking. 

Are bouncy castles allowed?

Yes, both inside and outside the building, subject to size restrictions and liability insurance. Details on request. You must inform us if you intend to bring one yourself. Provided it meets current safety standards we will instruct you where to connect up. The height of the Beech room ceiling is 3.25m.

When can I gain access for setting up?

All setup, breakdown and deliveries must be on the day of your event and included in your overall pre-booked hire time.
 

License and Liability Details


Do you have an alcohol licence? 

No and if you intend to sell alcohol you must arrange for your own alcohol/event licence via the local authority.
 
Do we have to pay for breakages? 

Yes we would expect you to pay for all damages and breakages that occur during your booking. Please speak with the booking secretary as soon as possible after your booking so that we can repair/replace the items prior to the next booking.

 

Using the Halls


How do I gain access to the halls for my event? 

You will receive full instructions via email closer to your booking date.
 
What do I do with my rubbish?

We are a very busy venue so kindly ask that you take your rubbish away with you as we don't have the means to ensure that the bins are emptied frequently enough for every booking.
